Camp Support
We may need the support of participants and participant leaders from time to time to assist with general light duties on site including serving food and associated tasks, activity supervision, people/queue management during transit times etc. We will ask in advance for volunteers.
Leader Event
We will hold an online event(s) to act as a Q&A for participant leaders on the event. We will ensure you are fully briefed on all that you need to know and have an opportunity to ask us questions so you are fully informed. Dates for these will be circulated well in advance. We will also detail which aspects of responsibility sit with the event and which remain your responsibility as the leaders for young people on the event.
Participant Training
As above, we plan to hold a full day event for participants. The purpose of this day will be to share details of the programme and the camp so they are also informed (and excited), meet and make friends with other people on the event and for us to also set some standards of behaviour and expectations around enjoying the event and staying safe.
Payments
As we move forward into this next phase of planning we will be booking activities and committing to cost. It is important that participants, leaders and staff continue to adhere to the payment profile for the event on this basis. Please contact us if you need to discuss this matter.
Flights
We expect to be able to confirm flight details as we get a year ahead of travel (when flights are available and bookable). If you are planning to take up the flight free option – please let us know asap; we will confirm the price adjustment once we have a clear understanding on flight costs.
Travel Documentation
Per the terms and conditions you have signed; participating groups will need to ensure that all travelling members of their group have all appropriate travel documentation for the duration of the event (Passport and Canadian Electronic Travel Authorization (eTA). The core team will seek a copy of all travel documentation ahead of travel but participant groups will be responsible for ensuring all documentation is in hand, valid and in date for the full duration of the stay as well as the purchase of the eTAs for the group ($7 per person).
Travel Guidance
Before you travel, make sure you allow enough time to check the recommended travel health advice for Canada and get any routine UK vaccinations you need. For the latest medical and vaccination guidance, visit the UK’s official travel health site: Travel Health Pro.
Baggage
We are likely to recommend rucksack/kitbags with rucksack straps rather than suitcases for travel so a sturdy rucksack of sensible capacity will be required. Size/weight limits will be confirmed when flights are booked. Individuals will need to be able to carry their rucksack/bag for short distances whilst we are in transit and establishing camp.
General Kit
In light of the programme above; the usual standard camping clothing and kit is expected. We are not expecting to ask anybody to bring any specialist kit for programme activities at this stage. Should this change, we will advise you but you should assume ‘standard’ camping kit adaptable for different weather types.
Uniform
The uniform for the event will be our event t-shirt and camp neckerchief (we will share details on designs once confirmed). Whenever we travel as a full contingent we will ask for this uniform to be worn and for all participants to wear their camp necker at all times on the event. We are very keen to have a common identity for our event uniform with common branding. Our media team can guide if you wish to know more about our event branding.
Camping
Participants will be camping under canvas – we plan to follow the approach of previous overseas Red Rose trips and ask participants to bring their own lightweight tents that will be split across the baggage of the occupants.
Catering
This is a centrally catered event – breakfast, lunch and tea/dinner – will be provided whilst we are camping. There may be days we are offsite all day and we will ensure meals are provided whilst offsite. Campsite mealtimes will be on rotation using the site dining facilities.
Location
As previously shared, we are expecting this to be Blue Springs Scout Reserve near Toronto in Ontario.
Programme
A varied, exciting and rewarding daytime programme will be provided. The programme team are currently working hard on ensuring that it will be fun and exciting. The finer details will be shared once we have finalised details with activity providers.
